How approval of playtest orders works

For our enterprise and pro-advanced customers, we provide an approval feature for submitting orders. With the user role "collaborator", users can be set up so that they cannot order directly but rather submit playtests for approval. Other users with approval rights (creators or team admins) can then check the order and approve it.

  • Collaborators: Cannot place orders but send them for approval

  • Creators/Team admins with approval enabled: Can approve submissions

How does it work?

  • If a user is a collaborator, they cannot order playtests themselves. However, they can run through the normal order flow with the difference that they will not place the order but rather send the order for approval.

  • Every approver in the same team will receive an email notification (and see a banner on the platform) stating that an order is waiting for approval. They can then go ahead and edit the order, approve it or send it back to the collaborator. If an order is approved, the order is simultanously placed and the playtest process starts automatically with no further action required.

  • Now the collaborator receives an email saying that the order was either approved or sent back to them.

How do I set this up?

On the "add/remove teammates" page, the roles for each team member can be chosen.

  • Choose collaborator for everyone you want to be able to submit orders for approval (and not order directly).

  • Choose creator or team admin and keep approval enabled for everyone who is supposed to be approving the submitted orders.

  • Every approver gets a notification for each submitted order. Teammates who are creators or team admins who do not wish to be involved with approving can opt out of the process here. However, there always has to be at least 1 approver in each team. So in this case, the option is disabled.

Anything else?

  • Even though technically the approver places the order with their approval, the playtest will still belong to the collaborator going forward, so the "owner" of the test will stay the same - the collaborator.

  • It is currently not possible for one user to both send orders for approval and to approve themselves. For the time being, for each user only one of these options can be chosen.
